Eligibility Criteria
- The project entered must have been completed within the last two years.
- Buildings entered must be located in the UK (Great Britain and Northern Ireland only). Furniture and products must either be designed and/or manufactured in the UK.
- The project must not have been previously entered in the Wood Awards.
Entry Submission
- Entries must be submitted via the official entry form on the Wood Awards website: www.woodawards.com/enter. If you are unable to complete the form, please contact Lucy Bedry at 020 7291 5377 (Wood Awards Project Manager) or email info@woodawards.com for assistance.
- A minimum of three high-quality photos (in j.peg format, with a maximum size of 8MB each) must be submitted as specified on the entry form. These photos should effectively demonstrate the detail and context of the project.
Permissions & Responsibilities of Entrants
- It is the responsibility of the entrant to confirm that no restrictions are preventing the project’s entry, from the project or furniture owner, designer, or any other party. The entrant agrees to hold the Wood Awards free from any liability related to this condition.
- By submitting images and text via the entry form, you confirm that you have the authority to grant the Wood Awards permission to use these images and text.
- The Wood Awards and its organisers and sponsors may use submitted photographs in any format related to the Wood Awards. Photo credits will be provided where requested.
Use of Data & Publicity
- The Wood Awards organisers and sponsors reserve the right to distribute press materials and case studies relating to projects to promote the competition.
- All names, addresses, and email addresses submitted on the entry form will be used solely by the sponsors and organisers of the Wood Awards for research, marketing, and promotional purposes. These details will never be sold or disclosed to third parties.
- Entrants agree to participate in any publicity related to the Wood Awards, including but not limited to media coverage, interviews, and social media campaigns. This may include the sharing of project details and images on Wood Awards’ social media platforms.
Judging Process & Categories
- Categories: If the judges believe that your project may fare better in a different category than the one entered, they may, at their discretion, move the entry to a more suitable category.
- The decision of the judging panel is final, and no correspondence will be entered into.
- If the architectural practice or design studio of a current judge wishes to enter a project, that judge will not participate in the judging of the category in which their project is entered, in line with established precedent.
Shortlisting & Site Visits
- If shortlisted, the entrant must ensure that there are no restrictions on on-site viewing by the judging panel for architectural projects (viewings take place between August and October by mutual arrangement).
- If a furniture project is shortlisted, the entrant must ensure the piece is available for transport to and exhibition during the Wood Awards exhibition in September. If transportation is not possible (e.g. due to the size or installation of the piece), alternative arrangements will be made for judges to view it in person. Fitted furniture must be located in the UK.
Confidentiality & Privacy
- The Wood Awards will make reasonable efforts to withhold the full address of any project for entrants who specifically request confidentiality. However, the general location (city or country) will be published. If the project is shortlisted, the full address will be provided to the judges to arrange a site visit at a mutually agreed time.
- Data Protection & Privacy: The Wood Awards will process all personal data in accordance with applicable data protection laws. By submitting your entry, you consent to the collection and use of your personal data solely to administer the competition and promote the Wood Awards. Your data will not be shared with third parties outside of the organisers and sponsors unless required by law.
Timber Sourcing & Sustainability
- The sponsors and organisers expect that entrants have taken reasonable steps to ensure that the timber used in their projects has been legally obtained from well-managed forests. Confirmation may be provided through supplier documentation, especially if the timber is certified or supported by relevant information from supplies committed to implementing Timber Development UK’s Code of Conduct.
Copyright, Branding & Future Use
- Copyright and Intellectual Property: By entering the Wood Awards, you confirm that you own the copyright or have the necessary rights and permissions to use all images, designs, and content submitted. If your entry includes work that is the intellectual property of a third party, you must confirm that you have obtained the necessary permissions.
- Winning and shortlisted companies may use the Wood Awards logo on promotional materials with prior written consent from the organisers. However, the Wood Awards logo and other branding elements must only be used according to the provided guidelines and with prior written approval from the organisers.
- The Wood Awards organisers and sponsors may feature selected projects in future initiatives, such as case studies, publications, or industry reports.
Liability & Indemnity
- The entrant agrees to indemnify and hold the Wood Awards, its organisers, sponsors, and associated partners harmless from any legal claims, damages, or liabilities arising from the submission of the project or any breach of these terms and conditions.
- Insurance and Security: The Wood Awards organisers do not assume any liability for loss, theft, or damage to any submitted project or exhibit. Entrants are responsible for arranging any necessary insurance or security measures for their entries during the judging and exhibition periods.
Project Alterations
- If there are significant changes to the project after submission (such as alterations in design, material, or location), it is the responsibility of the entrant to notify the Wood Awards organisers promptly. Any such changes may affect the eligibility of the entry.
