EVENT CODE OF CONDUCT
This Code of Conduct is designed to ensure a respectful, safe, and inclusive environment for everyone involved. It applies to all team members, from cast to crew. We encourage everyone to chip in wherever needed, add value to the project, and support one another, working to create a collaborative spirit that elevates our work and creates a positive experience for all.
The Wood Awards is committed to providing a safe, respectful, harassment-free, accessible, productive, and welcoming environment for all Wood Awards event participants, Wood Awards staff, and other patrons of any venue utilised for the event, with equity in rights for all.
ACTIVITIES & INTERACTIONS
Everyone involved in Wood Awards activities, including but not limited to, judges, the steering group, entrants, programmes, and Wood Awards staff, are expected to abide by this Code of Conduct.
Expected Behaviour:
- Everyone should be treated with respect and consideration, valuing a diversity of views and opinions.
- Communication should be open and respectful.
- There should be no personal attacks against individuals or groups of individuals.
- You should alert Wood Awards staff if you notice a problematic or dangerous situation, or someone in distress (see safe reporting procedure below).
- Respect the rules and policies of the activity you are participating in as well as those of any venue or location being used.
Unacceptable Behaviour:
- Overt and/or covert acts of harassment, intimidation, or discrimination in any form will not be tolerated.
- Physical or verbal abuse of anyone will not be tolerated. Examples of unacceptable behaviour include, but are not limited to, verbal comments related to any protected characteristic including gender, sexual orientation, disability, physical appearance, body size, race, religion, or national origin.
- All communication should be professional and not use inappropriate nudity and/or sexual images in public spaces, presentations, emails, messaging apps or social media.
- Threatening or intimidating behaviour is not accepted.
- Sustained disruption of Wood Awards activities.
- Attendees are expected to arrive on time. It is at the organiser’s discretion to allow individuals to attend after the event or activity has started.
Anyone requested to stop unacceptable behaviour is expected to comply immediately. If you do not comply immediately, Wood Awards staff (or their designee) or security may take any necessary and appropriate action. The Wood Awards reserves the right to prohibit attendance at any future Wood Awards activity.
Safe Reporting Procedure
If you are the subject or have been subjected to unacceptable behaviour, or have witnessed any such behaviour, please immediately notify Lucy Bedry, Project Manager. This can be done by email or telephone.
If you are participating in an event or any other Wood Awards activity, you can notify the Wood Awards staff that is on-site.
Anyone experiencing or witnessing behaviour that constitutes an immediate or serious threat to public safety is advised to contact 999, locate a venue phone and ask for security.
EVENTS
All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, Wood Awards staff, service providers, and others are expected to abide by this Code of Conduct. This Code of Conduct applies to all Wood Awards events, either in person or virtual, and includes those sponsored by organisations other than the Wood Awards but held in conjunction with Wood Awards events, in public or private facilities.
Expected Behaviour:
- All participants, attendees, exhibitors, and Wood Awards staff are treated with respect and consideration, valuing a diversity of views and opinions.
- Be considerate, respectful, and collaborative.
- Communicate openly with respect for others, critiquing ideas rather than individuals.
- Avoid personal attacks directly toward other attendees, participants, exhibitors, and Wood Awards staff.
- Be mindful of your surroundings and your fellow participants.
- Alert Wood Awards staff/organisers if you notice a problematic or dangerous situation or if someone is in distress.
- Respect the rules and policies of the meeting venue, hotel, Wood Awards contracted facility, or any other venue.
- In virtual events, make use of the ‘raise your hand’ function or the chat box to contribute to the discussion and wait to be invited to speak by the host.
- Be considerate and respectful when speaking or using the chat function.
Unacceptable Behaviour:
- Overt and/or covert acts of harassment, intimidation, or discrimination in any form will not be tolerated.
- Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, Wood Awards staff member, service provider, or other meeting guest will not be tolerated. Examples of unacceptable behaviour include, but are not limited to, verbal or virtual chat function comments related to any of the protected characteristics including gender, sexual orientation, disability, physical appearance, body size, religion, or national origin. Also, inappropriate use of nudity and/or sexual images in public spaces, presentation in email or messaging apps. Threatening or stalking any attendee, speaker, volunteer, exhibitor, Wood Awards staff member, service provider, or other meeting guest both in person and online.
- Recording or taking photographs of another individual’s presentation without the explicit permission of the speaker is not allowed. The only exception is that the first slide (with the name of the individual) can be photographed if you wish to share it on social media.
- Sustained disruption of talks at events organised by Wood Awards at the meeting venue, hotels, or other Wood Awards-contracted facilities.
- Not abiding by the instructions for virtual events, emailed to you by Wood Awards. This includes but is not limited to:
– Talking over the hosts, other presenters, or participants when they are speaking
– Not muting your microphone or switching off your video if asked
– Attempting to share your screen without permission
– If you are presenting, not sticking to the guidance provided e.g. running on time or exceeding the permitted number of slides
– Using the chat function publicly or privately to verbally abuse or harass another attendee in the event
– Disrupting others when they are speaking or presenting in any way
– Sharing the links to meetings with non-registered participants
– Using expletives or swearing
– Using the Q&A to have conversations
– Impersonating another person
- Anyone requested to stop unacceptable behaviour is expected to comply immediately.
- If you do not comply immediately, Wood Awards staff (or their designee) or security may take any necessary and appropriate action, including immediate removal from the meeting without warning or refund.
- The Wood Awards reserves the right to prohibit attendance at any future Wood Awards event or any event held in conjunction with a Wood Awards event.
Safe Reporting Procedure
If you are the subject of or have been subjected to unacceptable behaviour, or have witnessed any such behaviour, please immediately notify a Wood Awards staff member or event organiser. If you are participating in an event, you can notify the member of the Wood Awards staff that is on-site.
Notification should be done by contacting the Wood Awards staff on-site or by emailing Lucy Bedry, Project Manager. This can be done by email or telephone. If in a virtual event, please private message the Wood Awards staff member hosting the event.
Anyone experiencing or witnessing behaviour that constitutes an immediate or serious threat to public safety is advised to contact 999 locate a house phone and ask for security.
Legal action may be taken if a criminal offence is suspected and, if appropriate, may be reported to the police or other relevant authorities.
